I know I have. The problem always seems to be that there isn’t enough time in the day. How many of you have things on your to-do list that seem to always be there? Are you always missing those follow-ups with older leads?

Well, I have the solution for you! These real estate tools and apps will help you close more deals this year. I use all of them in my business. They’ve all tremendously improved my life and productivity. I can only imagine how much more productive I would have been if I found these sooner.
There are literally hundreds of apps and real estate tools vying for a spot on your computer and phone. So, I’ve narrowed it down to the most effective tools I know out there. Perhaps this list can help you save precious time this week and leave you time to get to those tasks you’ve been putting off!
Like so many of you, I’m inundated with paperwork. There is simply no way to easily manage a bunch of random papers. This is especially true in real estate when so many important papers cross your desk. To help me manage everything better, I’m using Docusign! This app lets me easily keep all my papers in one place. Now, people can sign PDF’s and other important papers digitally and return them to me. The app keeps track of everything. To make it even more helpful, I integrate all the signed PDF’s with Evernote. This keeps all my notes, papers, and information in one place.
A few blogs ago, I mentioned how you can use Evernote (and Docusign) to keep track of your Realtor tax deductions. These two real estate tools help keep productivity, organization, and stress in check.
Sure, there are some times when printing is necessary. But I’ll take a picture of a printed document and store it in my Evernote file before cluttering my desk with more paper!

How many emails does it take you to schedule one meeting? I think my average is somewhere between 192992 and 1999302 emails sent just to schedule one meeting with one other person.

This free application lets you easily schedule events with other people. They can see when you’re busy and only pick a time that works for everyone! The app syncs with Google calendars and has great automated email systems. This cuts down on the back and forth nature of scheduling appointments.
Honestly, I think this application has saved me at least 35-50 emails every single day. It’s the perfect real estate tool for a busy office.
This is easy to setup and takes 2 clicks to integrate with your Google calendar. They have 3 preset appointments that individuals can choose to schedule with you. It looks like this:

Instead of looking for the perfect time to meet, I now can easily manage meetings with many people. This also makes the contact information swap a lot easier. I can’t tell you how many times I’ve put a name and date on my calendar without a phone number. This used to be so irritating.
This also makes it really easy to set aside time that you simply don’t want to use for business. You no longer have to defend your time when someone asks if you can meet at noon on Friday if you don’t want to. The calendar tells them up front when you’re available.
When it comes to real estate web marketing, having your own website matters so much. The website is the hub of everything you do online. It has to capture leads. It has to be SEO friendly. And it has to be optimized for social media shares.
The best way to achieve this is through having a WordPress built custom website. You’ll want to stay away from any platform that doesn’t allow you to install plugins on the back of it. This is because there are simply so many useful marketing plugins realtors can use! Want more leads? Try Sumome! Have Leadpages? You can embed it with your website. Want to blog? Great! WordPress is the best way to blog online.
The key part of any WordPress website is how well it converts. You need a website that converts as many visitors into leads as possible. It’s hard work to get visitors to your website in the real estate industry. You want to make sure you get as much value out of every single visitor as possible.

As you know, 90%+ of the visitors to your website will never come back. This means you need to capture as much information them as possible from the first visit. The best real estate tools to do this is Leadpages. As you probably know, I use them a lot for all of my landing pages.
Here are some key examples of how Leadpages can help your real estate website:
Welcome gate – you can install a welcome gate on your website. This page will only be shown to first time visitors who were going to land on your home page. Instead, they are shown a special squeeze page. This page profiles them and tries to get their contact information out of them.

You can also easily target seller leads with Leadpages. The platform lets you build special pages for each type of demographic you wish to target! This means you can easily deploy landing pages for each social media campaign you do!

I really recommend incorporating several real estate landing pages with every single social media, SEO, and paid ad campaign you use. These pages can email the leads directly to you or integrate with an email service provider. There are several other landing page real estate tools out there. But this is the one I think saves the most time and increases the number of incoming leads.

You can add people to individual conversations and easily share files. They have desktop, mobile, and table apps that make life so easy! No more hunting for images your admin just took of the new listing. The photos can instantly be shared to everyone.
Best of all, the app is so easily searchable. You can reply to team members with @ symbols like on Twitter and tag image files with keywords. This makes it really easy to search later on. You can even create different conversations for each listing or project you currently have going on.
This helps organize conversations and keep you all on the same page. You no longer have to hop between email, texting, and file sharing. It’s all here on Slack!
How many projects are you trying to manage? Probably quite a few! You have your marketing, web marketing, listings, buyers, and general business matters. All of these huge categories have small projects in them.
I find the easiest way to manage all of these projects – Trello. This app lets you create boards and place cards on these boards. The cards represent individual tasks that you move through a process of idea, working on it, reviewing, and done. During each stage of completion, you and your various team members can communicate and keep track of everything.
I’m a very visual organizer. So the app makes it easy to see the progress on things like my SEO and social media growth. Unlike other management applications, this one lets you see projects move through phases. Your project just doesn’t stay in one place and neither should your app that you use to manage the project.

This app makes it easy for you to make all types of video. You can easily stitch short clips of local attractions together and make explainer videos for locations near you. The app does all the work for you. There are various themes you can apply. You simply shoot the video and photos, put them into the app, and then it mixes them up!
Here’s how this works:
You need to be making videos for so many things! There are farming neighborhoods, location based marketing, parks, malls, and many other things to make videos for. Yet, you don’t just want a video that is you walking around with an iPhone. This app makes it easy to shoot iPhone videos and produce higher quality video with music.
I really recommend using it to make videos for all your listings! These videos go way beyond the typical open house walk through videos. The best part about all of is this that the video app is free to use! You can make as many videos as you want with it.
Every app so far has helped us make something easier, this is an app that lets you remember what matters! Buddhify helps me find my reason for doing all this work when things get complex. The app guides me through a short meditation and helps me remember why I like my job, work, and people around me.
It’s really easy to run from the second your eyes are open to the second they close at night. This simply isn’t healthy. It’s not a good way to work at all! I learned the key to relaxation through meditation a while ago. And this app helps me find it on a daily basis. Maybe you just had a stressful client meeting or lost out on a listing? This app is great for returning you to a positive frame of mind.
The app has a few different settings when you first open it up. You simply select the setting for the mood or emotion you’re currently feeling. Then you listen to a guided meditation.
Yes, you’re reading this correctly! I find guided meditations quite useful when it comes to being a productive Realtor.
Why does this impact me? When I’m stressed, I often don’t perform my best. I tend to say things I don’t really mean and react in a non-logical manner. This app helps me get unstressed so that I can move on with my work day. It helps me turn back the events of the day and return to a more normal state.
The best part about it is that it does this in under 5 minutes at a time. You can easily waste over an hour or two venting about something that made you upset. Or you can turn to this app and help remember the positive things about your day. The choice is yours!

Base and Contactually are two different CRMs. I highly recommend them both. Real estate, today, is all about being the best Realtor at following up. You want to be the realtor holding client appreciation parties and sending mailers to your past clients. These activities simply make more sense.
Base is a more traditional CRM that lets you move your clients between being just a contact and in a sales cycle. This makes a lot of sense if you like traditional CRM’s. The best part about this particular CRM is it’s attention to projecting revenues. Base does a great job at taking what is in your pipeline and turning it into a projected revenue.
Contactually is a bit different of a CRM. You put all of your contacts into different buckets. Contactually then reminds you to followup with your contacts based on rules in the buckets. Each bucket has a different amount of time between when you should reach out to that individual. If you set the bucket to be followed up with every 7 days, you’ll have a ticker on your dashboard reminding you to followup with those people after 7 days.
No matter what CRM you choose, focus on always following up. Often times it takes more than 10 tries to even get in touch with an individual. This doesn’t mean they don’t want to hear from you. This simply means they are busy too! Maybe they are at work and can’t answer the phone. Or maybe their children had an event they had to run to after work. Whatever it is, there are many things distracting people from taking your phone calls. CRMs are required to make sure you’re always following up with your leads in a controlled manner.
